This Privacy Policy explains what we collect, why we collect it, how we use and protect it, and the rights you have under the Protection of Personal Information Act 4 of 2013 (POPIA).

This policy applies to our website at vendingsolutions.co.za, our online consumables shop, and the enquiries, quotes, orders and services we handle for you.

What we mean by "personal information"

"Personal information" means information that identifies, or can be linked to, you as defined in POPIA and the Promotion of Access to Information Act 2 of 2000 (PAIA) — for example your name, contact details, company, and order or payment information.

Information we collect

Information you give us: name, company, email, phone number and message when you submit an enquiry, request a quote, book a service call, or contact us.
Order & account information: billing and delivery details, the products or machines you order, and your transaction history when you buy from our consumables shop.
Payment information: handled by our payment gateway (see "Payments" below) — we do not store your full card details.
Technical & usage information: IP address, browser type, pages viewed and similar data, collected via cookies and analytics (see our Cookie Policy).

How we collect it

We collect personal information directly from you when you complete a form, place an order, email, call or WhatsApp us; automatically through cookies and analytics when you use our website; and occasionally from third parties such as credit-check providers where you apply for machine rental.

Why we process your information

We only process your personal information for lawful purposes, including to:

respond to your enquiries and provide quotes;
process, fulfil and deliver your orders, and manage rentals and service calls;
take payment and prevent fraud;
provide customer support and handle returns, refunds and warranties;
send you information about your order or, where you have agreed, marketing about our products and services;
comply with our legal, tax and accounting obligations.

We do not sell your personal information. We share it only as needed to run our business and serve you, including with:

Payment providers — card transactions are processed by PayFast (Pty) Ltd, our approved payment gateway. See www.payfast.co.za. Your card details are entered on PayFast's secure site and stored separately from the customer details we hold.
Couriers and logistics partners who deliver your order;
Service providers who host our website, send our email, or provide analytics, under appropriate confidentiality obligations;
Authorities or advisers where we are required to by law, or to protect our rights.

Payments and security

Card transactions are acquired for A‑Z Vending Solutions (Pty) Ltd via PayFast (Pty) Ltd. The merchant outlet country is South Africa and the transaction currency is South African Rand (ZAR). We take all reasonable technical and organisational steps to protect your personal information from loss, misuse and unauthorised access, but no method of transmission over the internet is completely secure.

How long we keep it

We keep personal information only for as long as necessary for the purposes set out above, or as required by law (for example, tax and accounting records). When it is no longer needed, we securely delete or de-identify it.

Your rights under POPIA

Subject to the conditions in POPIA, you have the right to:

be told what personal information we hold about you and request access to it;
ask us to correct or delete information that is inaccurate, irrelevant, excessive or out of date;
object to the processing of your personal information;
withdraw your consent to direct marketing at any time;
lodge a complaint with the Information Regulator.
